By using AttendanceSheeter, you agree to these Terms of Service. We've designed our service to be simple, privacy-focused, and respectful of your data and rights. This includes our free version, enhanced registered user features for Sheeter+ and Checker, and paid Sheeter Pro subscriptions.

Acceptance of Terms

By accessing or using AttendanceSheeter (the "Service"), you agree to be bound by these Terms of Service ("Terms"). If you disagree with any part of these terms, you may not access the Service.

Description of Service

AttendanceSheeter is a privacy-first digital sign-in sheet platform that includes:

Free AttendanceSheeter: 24-hour data retention, no account required
Sheeter+ (Registered Users): 30-day data retention, enhanced features
Sheeter Pro (Paid Subscription): Extended retention while subscribed, advanced features, $7.99/month or $79/year
Checker (Registered Users): Advanced checklist management and collaboration
QR Code generation: For easy attendance collection
Digital signatures: Secure attendee verification with biometric protection
Export functionality: PDF and Excel downloads with privacy controls
Account management: Username customization, password management, data portability
Enhanced security: Password hashing, cookie-based sessions, per-user encryption keys

User Accounts and Registration

Account registration is optional for basic functionality and required for Sheeter+ and Checker features:

You must provide accurate and complete information when creating an account
You are responsible for maintaining the security of your account credentials
You must notify us immediately of any unauthorized use of your account
One person may not maintain multiple accounts for the same service
Accounts are for individual use only and may not be shared
Username Management: You may customize your username, subject to availability
Password Security: Passwords are securely hashed before storage
Authentication: We support password-based login, Google OAuth, magic links, and email OTP
Account Verification: Email verification required for account security

Sheeter+ Registered User Features

Registered users gain access to enhanced Sheeter+ features with extended data retention:

Extended Retention: 30-day data retention instead of 24-hour automatic deletion
Sheet Management: Save, organize, and revisit attendance sheets
Data Export: Comprehensive JSON export of all your data for portability
Account Control: Full control over your data with immediate deletion options
Profile Management: Editable username and secure password changes
Session Management: Secure cookie-based sessions with server-side management
Privacy Controls: Detailed export options excluding sensitive biometric data

Checker Tool for Registered Users

The Checker feature provides advanced checklist management capabilities:

Persistent Checklists: Create and maintain checklists until you choose to delete them
Item Management: Add, edit, reorder, and complete checklist items
Progress Tracking: Visual progress indicators and completion statistics
Data Integration: Checklists included in comprehensive data exports
Privacy Protection: Same privacy-first principles as attendance data
Manual Control: Checklists persist until you manually delete them

Event Organizer Responsibilities & Data Control

Partnership Between Technology and Event Management

AttendanceSheeter operates as a digital equivalent to traditional paper-based sign-in sheets. Just as with physical attendance sheets, clipboards, or printed sign-up forms, the event organizer or activity owner serves as the primary data controller and accepts responsibility for:

Compliance with applicable local, state, federal, and international privacy laws
Determining appropriate data collection practices for their specific events
Obtaining necessary consent and permissions from event attendees
Providing clear privacy notices and data usage explanations to attendees
Handling all attendee inquiries, complaints, and data requests related to their events
Securing, managing, and properly disposing of exported attendance data
Ensuring lawful use of the AttendanceSheeter platform for their events

By using AttendanceSheeter, event organizers acknowledge their role as data controllers and agree to handle attendee data responsibly in accordance with applicable laws and regulations.

Acceptable Use Policy

You agree not to use the Service to:

Violate any applicable laws or regulations
Collect or store illegal, harmful, or inappropriate content
Impersonate others or create false identities
Attempt to gain unauthorized access to our systems
Distribute malware, spam, or other harmful content
Use the service for commercial purposes without permission
Interfere with or disrupt the service or other users

Data Retention and Privacy

We are committed to privacy-first data handling with automatic expiration.

Free Version: All data automatically expires within 24 hours
Sheeter+ Version: Attendance data retained for 30 days, then automatically deleted
Sheeter Pro: No auto-delete while subscribed; on cancellation, access until billing period end, then 30-day read-only grace period, then standard Sheeter+ 30-day retention applies. After 2 years of inactivity (no login), a warning email is sent with 30 days to respond before data deletion.
Checker Data: Checklists are persistent and retained until manually deleted by user
User Control: You can delete your data at any time through account settings
Signature Security: Biometric data excluded from exports, included only in PDF downloads
Data Portability: Complete data export available in structured JSON format
Privacy Policy: Detailed privacy practices available in our Privacy Policy

Service Tiers and Pricing

Service availability and pricing structure:

Free Services: Basic AttendanceSheeter and core Checker features
Ad-Supported: Free services are supported by non-intrusive advertisements
Sheeter+ (Free): Enhanced functionality available through account registration
Sheeter Pro (Paid): Advanced features at $7.99/month or $79/year
Service Changes: We reserve the right to modify features and pricing with notice

Paid Subscriptions (Sheeter Pro)

Sheeter Pro is a paid subscription service with the following terms:

Pricing: $7.99/month or $79/year (annual plan)
Free Trial: 14-day free trial, limited to 50 attendees per sheet
Billing: All billing is handled by Polar.sh as our Merchant of Record
Third-Party Terms: By subscribing, you also agree to Polar.sh's Terms of Service
Price Changes: Prices may change with 30 days advance notice to active subscribers
Payment Security: AttendanceSheeter never stores, processes, or has access to your credit card numbers

Cancellation & Refunds

You may cancel your Sheeter Pro subscription at any time:

How to Cancel: Cancel from your Pro Settings page at any time
Billing Period: Cancellation takes effect at the end of your current billing period
Continued Access: After cancellation, you retain full access until your paid period ends
Grace Period: 30-day grace period after expiration with read-only access to export your data
After Grace Period: Your account reverts to standard Sheeter+ rules (30-day data retention)
Refunds: Refund requests are handled by Polar.sh per their refund policy

Service Availability

Our commitment to service reliability:

Availability: We aim for high availability but do not guarantee 100% uptime
Maintenance: Scheduled maintenance will be communicated in advance when possible
Interruptions: Service interruptions may occur for maintenance or technical reasons
Data Safety: Users are responsible for exporting important data within retention windows

Intellectual Property

Intellectual property rights and usage:

AttendanceSheeter and its original content are owned by us and protected by copyright
You retain ownership of any data you input into the service
You grant us necessary rights to process your data as described in our Privacy Policy
You may not copy, modify, or distribute our software without permission

Disclaimers and Limitations

The service is provided "as is" without warranties of any kind.

We make no guarantees about service availability or uptime
Users are responsible for backing up important data
We are not liable for data loss due to automatic expiration policies
Service interruptions may occur for maintenance or technical reasons

Account Termination

Account termination policies:

Self-Service Deletion: You may delete your account at any time through account settings
Complete Data Removal: Account deletion removes profile, sheets, checklists, and attendance records
Verification Required: Email confirmation and password verification required for deletion
Cascading Deletion: All associated data is automatically removed with proper cleanup
Violation Suspension: We may suspend or terminate accounts that violate these terms
Automatic Expiration: Termination does not affect data that has already expired automatically
Session Invalidation: All active sessions are invalidated upon account deletion

Changes to Terms

We reserve the right to modify these Terms of Service at any time. When we make changes:

Significant changes will be announced through the service
Continued use of the service constitutes acceptance of updated terms
